About this program
SentryDoc is a document-compliance platform used by healthcare employers to keep employee onboarding and credentialing files up to date. On behalf of an employer, SentryDoc can send that employer’s own staff occasional text messages reminding them that a required document is missing or is about to expire.
These are transactional employment notices. They are not marketing, they are never sold or shared with third parties for advertising, and they are sent only to an employer’s own employees, only during employment.
Text messaging is optional. The platform’s primary channel is email: every employee receives their secure document link by email, and an employee who does not consent to text messages continues to receive everything by email with no loss of function.
How employees opt in
Consent is collected on paper by the employer, before the employee’s mobile number is entered into SentryDoc. During onboarding, the employer includes the written consent form below in the new-hire packet. The employee reads it, decides whether to take part, and signs it only if they choose to receive texts. An employee who leaves it unsigned is never enrolled.
The employer retains the signed form and may only enter a mobile number into SentryDoc for an employee who has signed one. Under our Terms of Service, employers must keep each signed consent for at least four years and produce a copy to us on request, including when a mobile carrier or regulator asks us to substantiate consent.
Message frequency, rates, and how to stop
- Message frequency varies — messages are sent only when a document is outstanding or expiring, so many employees receive none at all.
- Message and data rates may apply.
- Reply STOP to any message to stop receiving them. Every message we send carries opt-out instructions, and an opted-out number is not messaged again.
- Reply HELP for help, or contact support@sentrydoc.com or +1 617-240-4025.
- Consent may also be withdrawn at any time by telling the employer, who must promptly remove the number.
- Carrier support varies and carriers are not liable for delayed or undelivered messages.
How message content is handled is described in our Privacy Policy. Text messages deliberately name no specific document, because this catalog’s document names can be health-adjacent.
