Built for urgent care

Surveyors don’t accept “we’re working on it.”

An expired CPR card is a finding, and findings carry fines. SentryDoc collects, e-signs, and tracks every staff credential — and flags what’s missing before a surveyor does.

$5per employee, per month. No setup fee.

20-minute walkthrough of a working practice — failures included.

What it is

What SentryDoc does

Every document the UCA requires — licenses, immunizations, signed policies, trainings — organized the way the manual organizes them, matched to each employee's role.

Screened on upload

Wrong name, wrong document, or expired — rejected on the spot, with a written reason.

The clock starts itself

SentryDoc reads the expiration date and requests the replacement on its own.

Effortless for employees

A text or email link. No account, no app — snap a photo and done.

One view for managers

What's compliant, what's expiring, what's missing.

How it works

Three steps, then it runs itself.

Set the rules once. Staff do their part from a phone. The board tells you who to chase.

01 · THE RULES OF ENTRY

Define requirements by job type

Providers need a DEA certificate; front desk doesn't. Build each role's checklist once — every new hire inherits it.

02 · AT THE GATE

Staff upload and sign from their phone

They get a link, photograph their documents, and e-sign policies. No app, no password.

03 · THE WATCH

Watch one board, not twelve folders

Every document and expiration in one view, with automatic reminders at 90, 30, and 7 days.

The product

An admin board and a phone flow. That's the whole system.

Nothing to roll out, nothing to train. Managers get the dashboard; staff see only their own checklist.

Questions

Straight answers.

How long does setup take?

Most single-site practices are live within a week of signing up; multi-site groups take about two.

What does $5 per employee actually cover?

Everything — unlimited documents, e-signature, reminders, exports, and all manager seats. Billed monthly on active headcount; no setup fee, no per-signature charge, no contract.

Do employees need to download an app or create an account?

No. They open a link, verify with a code, and finish in the browser.

Can we upload the documents we already have on file?

Yes — bulk-upload what you have. Anything with an expiration date starts being tracked immediately.

What happens when a credential is about to expire?

The employee gets reminders at 90, 30, and 7 days, and the board shows it as expiring until a replacement is approved.

Who reviews and approves what staff submit?

Your managers. They approve or reject with a note — “photo is cut off,” “expiration date not visible” — which lands back on the employee's checklist.

Does it work for multiple locations under one group?

Yes. Requirements vary by site and job type, managers are scoped to their locations, and group reporting rolls every site into one view.
